Measure whether legitimate missed calls actually receive the recovery action.

A missed call is a live customer who reached out and got nothing. Recovery rate measures whether the business closes that loop — and it only counts when 'recovery' means something real.

Formula
Missed Call Recovery Rate = legitimate missed calls with completed recovery action / legitimate missed calls × 100

What this metric measures

Missed call recovery rate measures the share of legitimate missed calls that receive a defined recovery action. It captures demand that arrived, was not answered, and then either came back or was lost. For call-heavy service businesses, this is often where the largest unmeasured leakage sits.

Why it matters

A missed call is not a lost sale by itself — it only becomes one when nothing happens next. Tracking recovery rate shows whether the business has a reliable process for closing that gap, or whether missed calls simply disappear into the phone log.

Define the recovery action

Define a completed recovery action according to the business. It should be an outcome, not an attempt:

  • Callback attempted and reached the caller
  • Two-way SMS conversation started
  • Booking completed from the missed call
  • Inquiry resolved with a defined next action

What does not count as recovery

Do not count an automated notification to staff as a completed recovery action. These are internal signals, not customer outcomes:

  • An automated notification sent to staff
  • A missed-call alert logged in a dashboard
  • A single unanswered callback attempt

Separate legitimate from non-legitimate

Not every missed call is a lost customer. Wrong numbers, spam, and hang-ups that immediately redial should be excluded from the denominator. Define what makes a missed call legitimate before calculating the rate, and apply that rule every period.

How to measure missed call recovery

Start with your phone system's missed-call log. Filter out wrong numbers, spam, and hang-ups under a few seconds to establish the legitimate missed-call count. Then track which of those missed calls received your defined recovery action within your recovery window — a callback that reached the caller, a two-way SMS conversation, or a completed booking. The rate is recovered calls divided by legitimate missed calls, times 100.

The recovery action must be an outcome, not an attempt. A single unanswered callback is not recovery — the customer was never reached. Define recovery as a two-way contact or a completed next step, and log it consistently so the rate stays comparable period over period.

How missed call recovery connects to the path

A missed call is a live customer who reached out and got nothing. For call-heavy service businesses — home services, dental, clinics — that caller usually dials the next company within minutes. Missed call recovery is the metric that catches that demand before it disappears. It sits at the very front of the operating path, parallel to response time, and it is often where the largest unmeasured leakage sits.

Read alongside lead response time, recovery rate tells you what happens to the inquiries your team never answered in the first place. A fast response time with a low recovery rate means the business handles the calls it picks up well — and silently loses the ones it does not.

There is no universal target

A realistic recovery rate depends on call volume, staffing, hours, and how the business defines a completed recovery. The right target depends on the business and the recovery process it can actually sustain.
